Fair use policy and fee schedule

1. The idea behind this policy

The price on the page is the price you pay. Our plans charge for two things: how much mail you receive, and each piece you ask us to open and scan. Everything else that mailbox services often bill separately, such as envelope photos, page counts, storage inside the window, and shredding, is included. Because of that, this document stays short, and most of it is definitions rather than fees.

This policy takes effect when the service launches. We publish it before launch on purpose, so you can read exactly what you would be buying before you order.

2. What counts as one piece of mail

One piece is one envelope or one package delivered to your address. If one outer envelope happens to contain several letters, we still count the one envelope you received.

Junk mail does not count. We filter obvious promotional mail for you, and it never uses up your plan.

One exception protects everyone's pricing: if another mail service forwards a bulk shipment of accumulated mail to us, we count the individual items inside it.

3. What is included with every piece, and what scanning costs

Every piece you receive gets an envelope photo when it arrives, storage for the window in section 9, and shredding when you are done with it. None of these are separate charges.

Opening and scanning is the one action we charge for: $1.99 per piece, only when you ask for it, and the piece comes back as a searchable PDF with Henry's summary and translation attached. The price is per piece, never per page, so a forty-page letter costs the same as a postcard. You can turn on automatic scanning for everything that arrives, and the same $1.99 per piece applies.

4. Plans, included volume, and extra mail

There are two products, each in two sizes. Virtual Mailing Address 30 and 60 are for personal mail and include 30 or 60 pieces of mail received each month. Virtual Business Address 30 and 60 receive mail in your business or trade name as well, and include the same 30 or 60 pieces. The number in each plan name is the number of incoming mail items received per month. Yearly plans are paid once a year at the per-month equivalent times twelve, stated to the cent ($99.00, $149.04, $149.04, and $198.96), which saves about 17% against paying monthly. The monthly allowance resets at the start of each billing cycle and unused pieces do not roll over. You can move between plans at any time. Moving up, or switching between monthly and yearly, applies right away. Moving down starts with your next billing cycle, so mail you already received is never counted twice, and you keep your current allowance until then.

Each piece received beyond your plan is $1.50. It gets the same envelope photo, storage, and shredding as an included piece, and the same $1.99 applies if you ask us to open it.

5. Recipients

Recipients are the names on the envelope, and they are the one thing the two products decide differently. Virtual Mailing Address accepts mail addressed to the individual names on your plan only, up to 2 names. If a business or trade name (an LLC, a corporation, or a DBA) appears anywhere in the recipient lines, even next to an individual name, the piece is business mail: we do not accept it, and it is returned to the sender. Business mail needs Virtual Business Address.

Virtual Business Address includes one business or trade name plus up to 6 individual names, counting you, so mail addressed to your company, to you, or to a co-founder is all received at the same address at no extra charge. A DBA that receives mail at your box counts as your business name. One postal rule applies to both products: each adult receiving personal mail at the box completes their own free USPS Form 1583, and we walk them through it. If you run a second company, it gets its own plan, which keeps each company's mail, allowance, and records separate.

6. Scanning limits

Documents are scanned whole, with no page fee. There are three physical limits: we cannot scan paper larger than 8.5 by 14 inches, documents over 1,000 pages, or bound items such as books and magazines. Anything we cannot scan still gets an exterior photo, and you choose whether we forward it or discard it. We will never surprise you with a charge for it.

7. Forwarding

Forwarding costs the actual carrier postage and nothing else. There is no handling fee, and we pass postage through at cost without adding a margin. If you ask us to send several items together, we combine them into one shipment so you pay one postage.

8. Check deposits

Checks arrive in your mail like any other piece and count the same way. When you want one deposited, that is a flat $2 per check, and it covers the check scan too, so there is no separate $1.99 on top. Where your bank supports remote deposit we deposit it electronically, and otherwise we mail the check to your bank with postage included. There is no percentage of the amount and no monthly minimum.

If a piece you had us open and scan turns out to hold checks and you then ask us to deposit them, the $1.99 scan charge for that piece is dropped, so you pay only the $2 per check.

9. Storage and shredding

Everything physical, letters and packages alike, is stored for 30 days after it arrives. After that, letters are shredded and packages are discarded, free of charge. We email you before anything is shredded or discarded, and you can ask us to forward it instead. Legal and tax mail is never destroyed automatically: we contact you first, every time.

Packages can weigh up to 25 pounds and measure up to 2 feet on each side. For anything over those limits, private-carrier deliveries (UPS, FedEx, DHL) are declined at the door, and USPS deliveries, which postal rules do not let us refuse, are held while we contact you to arrange forwarding or disposal. Your scans and Henry's summaries stay in your account for as long as you keep it, at no charge.

10. What we cannot accept

Perishable or refrigerated goods are disposed of, because our facility cannot store them safely. Cash-on-delivery shipments are refused at the door and returned by the carrier, since we cannot make payments on your behalf. Weapons and weapon accessories are returned to sender or discarded. Hazardous materials are safely disposed of. We also cannot handle alcohol, THC, or cash.

Whenever something on this list arrives, we email you about what happened to it. Nothing on this list is ever silently charged to your plan.

11. Heavy use

If you regularly receive far more mail than your plan includes, we will reach out and suggest volume pricing before anything else. If an account is used in a way that harms the service for others, we may stop providing it, and we refund any unused time when that happens.

The mailbox is built for your business and personal mail, including the packages that come with it. It is not a retail package-forwarding or parcel-consolidation depot. If an account starts operating as one, we apply the same rule as above: we talk to you first, and nothing is ever silently charged.

12. Ordering before launch, and refunds

Ordering before launch is free and is not a purchase. No card is collected on the site and nothing renews: you order, we email you the next steps, and payment happens only when your city opens and you choose to start service. When the service launches, plans are month to month or paid annually, you can cancel anytime, and your founding price stays locked for as long as you keep the plan.
